What is fund administration?
Fund administration is the operational work that keeps an investment fund's records, valuation, investor transactions and reports accurate. An administrator may calculate net asset value and maintain investor data, while a fund manager makes investment decisions. Outsourcing these tasks does not remove the legal duties of the management company or depositary.
Fund administration in brief
| Meaning | Operational support for an investment fund. |
|---|---|
| Core services | Fund accounting, NAV, investor records and reporting. |
| Investment decision | Made by the authorized manager under the fund mandate. |
| Safekeeping | A separate depositary or custodian role, depending on structure. |
| EU source | UCITS Directive Article 22 on depositary duties. |
What does a fund administrator do?
The administrator records subscriptions and redemptions, books income and expenses, reconciles positions and prepares a fund's valuation and reports. CSC's fund-administration guide describes accounting, investor servicing, compliance support and reporting among common services. The precise contract can be narrower or wider, so a service label should not substitute for the signed allocation of responsibilities.
A fund administration system connects accounting records with cash movements, security positions, prices and investor registers. Exceptions need an owner: an unmatched custodian position, a missing distribution or a price that has not updated may affect the published figure. Software can reduce manual transfers, but operations still review outputs and record corrections.
Fund administrator vs fund manager and custodian: what differs?
The manager decides how the fund invests within its prospectus and legal limits. The administrator supports the books and operating processes. The depositary holds or oversees assets and performs statutory oversight where the fund rules require it. UCITS Article 22 requires the depositary to check that unit values are calculated under national law and fund rules. That is a distinct duty from preparing the calculation.
The fund administrator vs custodian question is often blurred because a financial group can sell both services. Legal roles still need separation and oversight. PwC's function summary lists accounting, net asset value computations and transfer agency as common administrator work. It does not make the administrator the portfolio manager.
How do public and private funds differ operationally?
A daily dealt securities fund may need frequent prices and unit calculations. A private equity or private debt fund may have capital calls, distributions and assets whose valuations require more judgment. Investor reporting can follow a different timetable. The principle is the same: each cash flow and valuation must be traceable to an approved record and policy.
The administrator should know whether a commitment is unfunded, drawn or distributed, and whether an expense belongs to a fund, share class or investor. A NAV calculation then uses the correct assets and liabilities. Fund accounting basics include a ledger, reconciliation and valuation cut-off; more complex structures add allocation and consolidation rules. None of these operational processes determines whether an investment strategy is good.
What controls matter when administration is outsourced?
A management company needs to know what the provider will deliver, by when and from which records. Service levels, access rights, reconciliations, error escalation and continuity plans should be documented. A reviewer should be able to reconstruct a published NAV, see adjustments and identify who approved them. Fund administration software should retain that trail even when multiple parties supply data.
Outsourcing can change who performs a step, but does not erase statutory accountability. The manager and depositary must still carry out their own roles. A transfer agent may maintain investor records and handle subscriptions, either as part of the administrator's service or separately. Fund administration companies therefore should be compared by actual scope and controls, not by a generic list of features.
Fund administration in Germany, Austria and Switzerland
German fund management companies operate under the KAGB with BaFin supervision. The Austrian FMA supervises AIF managers; the exact fund rules depend on its legal form. In Switzerland, FINMA licenses fund management companies; collective investment schemes have their own approval rules. The administrator's contract must be read alongside those entity duties.
Frankfurt hosts Deutsche Börse and Xetra, whose market prices can be among the valuation inputs for listed fund holdings. The administrator must still apply the fund's valuation policy. This page gives no legal advice.
