Customer portals for small businesses

A customer portal is a protected online area where customers complete agreed tasks using information held by a business. For a small service company, the first useful task might be checking an order or supplying information that employees currently request through individual messages.

Planning a portal requires decisions about the information customers may see and the actions customers may perform. The company also needs a process for incomplete requests and unavailable source systems, so that a customer can finish the task or reach the responsible employee.

A customer request passes a role check before approval and recorded history.

Choose the task before the feature list

Review repeated customer requests with the employees answering those requests today. Choose one task with a visible result, such as confirming a submitted service request. Write down the information required at each step and the situations that need staff intervention. Compare an existing product with custom development using that same task and the cost of ongoing administration.

Separate billing self-service from business workflows

A billing portal can be sufficient when customers only need invoices and subscription controls. The Stripe customer portal supports those billing tasks for businesses using Stripe. A portal that also handles service requests or customer-specific approvals needs a separate assessment of the workflow and the systems supplying its records.

Check access with two customer organizations

The OWASP authorization guidance distinguishes signing in from permission to use a particular resource. As an acceptance example, create two customer organizations and attempt to open the same document through each account. A denied request must also remain denied when someone follows a direct download address or changes the record identifier.

Agree which system holds the current status

For each displayed field, name the system responsible for the current value. Specify what customers see while an update is pending or an interface is unavailable. For example, a submitted address correction can remain awaiting review until an employee accepts the change in the customer system. That example needs an explicit status transition and a test for duplicate submissions.

Prepare account administration and the handover

Include invitations and account removal in the operating instructions, with a named employee able to handle customer access questions. Ask a representative customer to complete the first task on a small screen during acceptance. The handover should include the source code and deployment instructions, together with the agreed maintenance scope and a route for reporting defects.

Assessing a project with Gateflow

Gateflow develops customer portals for agreed self-service tasks, with customer permissions and connections to existing systems. A small service business can ask Gateflow to scope an initial customer workflow and the staff process behind it. Acceptance should cover permitted actions and rejected access, with operating instructions for the employees administering customer accounts.

Gateflow is based in Frankfurt and focuses these services on Germany, Austria and Switzerland. Delivery location and any travel are agreed for the individual project, together with availability and the people needed for acceptance. Describe the existing application and the desired result when contacting Gateflow, so the initial discussion can define an assessment or first development stage.
